The editorial office will provide you with a solution that best suits your requirements.

The PoS menu includes:

  • Long term storage and worldwide availability of contributions in pdf format;
  • Unlimited number of pages in each article;
  • A software for authors and chairpersons to upload and screen contributions online;
  • Assistance from the editorial office in setting up the conference pages, running operations and troubleshooting;
  • Registration of DOIs (Digital Object Identifiers) for each contribution. DOIs help readers and indexing services identify contributions unambiguously, make it easier for readers to find contributions they are looking for and help to ensure correct citations;
  • Indexing of published contributions by the main indexing services, among which ADS Nasa and INSPIRE.

PoS offers two publication options:

  • SELF: organisers are provided with conference web pages which they can use to call for and make decisions on submitted proceedings. They have access to the tools for communicating with authors, sending collective or personalised reminders, enabling authors to replace their uploaded files, adding or removing authors etc. The organisers run the entire publication process, while the editorial office provides assistance to users whenever necessary by updating database entries for authors and providing software troubleshooting.
  • HELP: the editorial office is in charge of running the entire publication process according to indications from the organisers (on deadlines, length of contributions etc.). The office continuously monitors the progress in collecting contributions, updates the organisers accordingly and sends out all the necessary reminders to secure the maximum number of published contributions.

All proceedings publication proposals are subject to the assessment of the PoS executive editorial committee in order to ensure that highly rated conferences only appear in PoS, which means that the conference as a whole is deemed to be of good quality and therefore of interest for the scientific community. The peer review of papers published in PoS is carried out by the organizers and proceedings editors under their scientific responsibility. The detailed procedures will be determined by each conference chairperson. Authors and editors agree to comply with standard good practices and understand that PoS has the right to investigate any suspicions and/or allegations of misconduct relating to published proceedings. The editors of the proceedings are committed to ensuring the quality of the publication, that what is reported is ethical, accurate and relevant to PoS, that their decision to accept or reject a contribution for publication has been based only on the merits and relevance of the work, and that articles have not been published elsewhere.

The organizers are in charge of collecting and handling the authors data (name, surname, email address, affiliation, and contribution title) according to the current European legislation in terms of data protection "GDPR" (Regulation EU 679/2016). Organizers are required to collect the user consent for processing of their personal data. According to the GDPR PoS is a Data Processor while the organiser is the Data Controller. Article 4 defines data controllers and data processors as below:

  1. ‘controller’ means the natural or legal person, public authority, agency or other body which, alone or jointly with others, determines the purposes and means of the processing of personal data; where the purposes and means of such processing are determined by Union or Member State law, the controller or the specific criteria for its nomination may be provided for by Union or Member State law;
  2. ‘processor’ means a natural or legal person, public authority, agency or other body which processes personal data on behalf of the controller.

Once a conference has been positively approved by the executive editorial committee an offer will be sent confirming all the details and terms of publication.
